CRM for car repair shops
When every question reaches you, little time remains to develop your workshop. Zafirok connects customers, vehicles, jobs, parts and money so you can distribute responsibilities and follow what's happening. Start with your next job and build a way of working your team can carry forward.
For workshops with 2–3 mechanics and centres with 20–30.

01 / Job board
Which cars are waiting, which are being worked on and which are ready for handover? The job board puts the stages in one view so the team can follow the workshop's progress.
Move jobs between columns as work progresses and open a record for details. Visible status helps you identify what needs attention, follow progress and prepare handover. This information becomes useful when your team keeps the records up to date as work happens.
For you, as the owner
Review the workshop before entering each conversation. Focus on jobs that need a decision and let your team follow routine operations.
A situation you know
Several cars are in the workshop and another customer calls. Reception checks the board and the right record before giving a progress update.
02 / Job record
The customer arrives. Find their record, note the request and start. Vehicle details, operations and parts can be added as work progresses, in the same record.
At intake, you need to open the right job while staying focused on the customer. Start with the details you have, then add operations, quantities and prices as the mechanic identifies the work. Templates help your team enter recurring services consistently.
For you, as the owner
Delegate intake more easily: the customer's request and job details are in the record for the next colleague. Less repeated entry leaves you more time to organise the workshop.
A situation you know
A customer arrives for brake pads. Inspection also reveals worn discs. Add the operation and parts to the same record, so handover includes the full list of work and prices.
Search by name, phone or registration. Identify the right customer and continue intake with their vehicles at hand.
Has a phone changed or a detail gone missing? Update the customer from the job and continue filling in the same record.
03 / Customers and vehicles
One database for individuals and companies, with all their vehicles. Revisit previous jobs and parts used, keeping workshop knowledge available as your team changes.
For a returning customer, history is useful immediately: check previous repairs, parts used and recorded amounts. Customers stay linked to their vehicles, whether you serve a family with several cars or a company fleet.
For you, as the owner
The customer relationship can continue when reception staff change. Your team has the context for an informed conversation, and the knowledge you've built stays with the workshop.
A situation you know
A customer asks which oil you used at the last service. A colleague opens the vehicle history and checks the record while you're away from the workshop.
04 / Parts and inventory
Filters, oil, brake pads and other consumables: manage quantities, codes and locations. Purchase and sale prices stay separate so you can track parts cost and markup.
A part matters on the shelf and in the job's result. Keep its code, manufacturer, location, quantity and both purchase and sale prices. Link parts to jobs to follow what was used and its customer price. Minimum-stock thresholds help you spot consumables that need replenishing.
For you, as the owner
You have a clear basis for purchasing and parts markup. See what your workshop consumes and follow parts costs separately from labour before deciding what to keep in stock.
A situation you know
A service uses oil and two filters. Quantities and prices go into the job record, while inventory history helps you follow the consumables' movements.
05 / Mechanic access
Assign diagnostics, repairs and inspections to the right people. Configure roles and access while mechanics follow their assigned jobs. You keep the full picture.
One job may need diagnostics, mechanical work and a final check. Assign operations to the right people, organise teams and configure access around responsibilities. Mechanics follow their own work while the administrator sees the workshop. Remuneration can combine a percentage of assigned work with a fixed salary.
For you, as the owner
Delegation has a clear foundation: each operation has an owner. You can follow progress and the basis for remuneration while the team checks its assigned work. The same organisation can support a larger team.
A situation you know
Diagnostics go to the electrician and repairs to the mechanic. Reception follows the record, while you can review progress and responsibilities without personally relaying every update.
2–3 mechanics
Quick intake, clear responsibilities and information at hand.
20–30 mechanics
Organised teams, configured roles and individually assigned work.
06 / Finances and pay
Labour and parts, costs and expenses, team remuneration and estimated profit. Track them separately over time to understand each part of your business.
Receipts alone don't show what your activity leaves behind. Finances separate labour, parts, parts purchase costs, team remuneration and recorded expenses. Choose a period and employee to inspect the calculation basis. Profit is an estimate built from the data you enter.
For you, as the owner
Discuss prices, markup and team workload using figures. See what contributes to the result and which expenses reduce it, to make more informed decisions about pricing, purchasing and growth.
A situation you know
At month-end, compare labour sales with parts sales and costs. Review mechanic remuneration and expenses before setting your next priorities.
07 / Document editor
Build templates for invoices, intake and handover documents, and your workshop’s warranty terms. Customer, vehicle and job details come from the job record.
At handover, the document should reflect the job your team has recorded. Build templates with a logo, tables, text and signatures, then use the customer, vehicle and operation details from the record. Adapt invoices, intake and handover records, and warranty terms to your workflow.
For you, as the owner
Give the team a shared template and reduce retyping at every handover. Customers get a clear record of the work, and reception has a process it can repeat.
A situation you know
The car is ready and the customer has arrived while you're with a supplier. Reception generates the document from your workshop template and the details already entered on the job.
08 / SMS notifications
Enable SMS notifications for the stages your workshop needs. Customers know when their car is in progress and ready, with the amount due in the completion message.
Choose the stages for notifications and review messages before enabling them. On completion, customers can receive the car-ready update and amount due. For unpaid work, enable reminders separately after your chosen delay and review the sending history.
For you, as the owner
Communication can continue while the team works. Customers have a reference for their car's status, and reception can give more attention to matters that need a personal conversation.
A situation you know
The mechanic marks the job completed. If notifications are enabled and sending conditions are met, the customer receives a handover message with the amount due.

Control and growth
Planning, settings and data complement everyday jobs. Each tool gives you a way to organise something that would otherwise need another explanation, another file or another manual check.
09 / Bookings and planning
When servicing, diagnostics and repairs share a day, mechanic time becomes a resource to organise. Bookings and job planning help you arrange activity into time slots and follow team workloads.
Set a job's day and time slot, adjusting its duration when additional operations appear. Reception has a reference for booking conversations, and mechanics can see their assigned work. You can check where there is room and where the schedule needs adjusting.
For you, as the owner
Organise workshop capacity before accepting the next job. A visible schedule helps reception make better-informed commitments and shows when you need to redistribute work.
A situation you know
You have two morning services and a longer diagnostic job. Check the slots, assign work and reserve the needed time before adding another booking.

10 / AI assistance
Extract vehicle document details and review suggested operation estimates.
The assistant helps extract vehicle-document information and start an operation estimate. Review recognised details, correct them as needed and choose what to keep. Suggestions are a starting point; diagnostics, pricing and final decisions remain with your team.
For you, as the owner
Support record entry, especially when reception is busy. Your team can reduce repetitive work while retaining control over the data and prices it uses.
A situation you know
A vehicle arrives for the first time. Use its document to extract details, check the result and continue with the operations confirmed by the mechanic.

11 / Configurable VAT
Enable added VAT separately for services and parts and choose the rate. Off by default.
Configure added VAT separately for services and parts. Choose the rate and follow record prices so the team works with consistent calculation rules. This helps when you need to present base prices and VAT-inclusive amounts consistently in jobs and documents.
For you, as the owner
Set the rule once and give your team a shared way to enter prices. Review the amounts your workshop presents to customers more easily.
A situation you know
Your workshop adds VAT to services and parts. Configure the relevant options and check a job before the team uses those rules in daily work.
Example workshop workflow

12 / Fields adapted to your workshop
Choose displayed information and add custom fields to your records.
A specialist workshop has information it needs to track consistently. Configure relevant fields and keep useful details in the record for reception, mechanics and documents. Your team has a shared place for information instead of relying on each colleague's preferred format.
For you, as the owner
Turn the workflow you know into a structure the team can follow. A new colleague can see which information belongs in each record.
A situation you know
You want the team to record specific technical observations at intake. Add the relevant fields and keep the same record structure for future jobs.

13 / Import with a preview
Bring customers, vehicles and stock from files. Review columns and data before saving.
If your customers, vehicles or parts are in files, import helps bring them into the CRM. Map columns to the appropriate information and review the preview before saving. Prepare the transfer by category and correct data that needs attention.
For you, as the owner
The work invested in your existing records can become the starting point for the new system. Organise the move to a CRM without manually entering every customer and part.
A situation you know
You have a customer list and an inventory file. Prepare them separately, review columns and previews, then save the data your team will use.

14 / Export for analysis
Export financial reports and inventory data for business records and analysis.
Choose the period and criteria for a financial report, then export it for your analysis. Inventory data can be exported separately. Files let you continue reviewing in the tools you use and prepare a conversation with a partner or accountant.
For you, as the owner
Review results in detail and prepare growth decisions using concrete data. The information recorded in your workshop becomes easier to use for business planning.
A situation you know
Prepare your monthly review. Export finances and stock, then review costs, markup and upcoming purchases with your partner.

In your car repair shop
See how the features connect when working on customers' cars. These examples show a way of organising work you can adapt to your team.
For car repair shops / 01
Oil changes, filters and routine checks recur every week. Organisation brings repeatability: the same job structure, recorded parts and useful history for the next visit. Prepare operations as templates and adapt them to the arriving vehicle.
Identify the vehicle, check its last job and open the new service record.
Operations, oil and filters stay in the same record, with quantities and prices.
Review the record, generate the document and communicate completion.
For you: give recurring work a process your team knows and devote attention to exceptions, suppliers and workshop development. The history remains available at the next visit.
Features working together
For car repair shops / 02
An electrical issue may require diagnostics, a component replacement and a mechanical check. New information, additional parts and different people enter along the way. The job record holds the repair together, and operation assignments show who handles each part.
The specialist checks the vehicle and records observations on the job.
Assign operations, add parts and follow progress in the same record.
Review labour, parts costs and documents before closing the job.
For you: follow a repair that passes through several hands, with information and responsibilities in one place. Your team has context to continue, and you have a basis for reviewing costs and the result.
Features working together
